Introduction
July's releases share a single theme: turning compliance evidence from something you assemble on demand into something that is always ready. This month brought automated data retention, one-click compliance reporting at both the organization and vault level, a redesigned cross-organization dashboard, and clearer usage visibility across every plan.
What's New This Month
Automated Retention Policies
ROOTKey now supports named, reusable retention policies that can be assigned to any vault. Once a policy is attached, the platform runs a daily evaluation of every file against its retention deadline, sends an email alert as the deadline approaches, and - when configured - executes the purge automatically with an in-place redaction that preserves the audit trail without preserving the underlying data. For compliance teams working under GDPR's storage limitation principle or NIS2 data-handling obligations, this closes a gap that most organizations still manage manually in a spreadsheet: knowing what should have been deleted, and proving that it was.
Organization-Wide and Vault-Level Compliance Reports
Compliance officers can now generate an audit-ready report scoped to an entire organization, not just a single vault. The organization-level report rolls up integrity status, activity, and policy adherence across every vault and team, giving a single document to hand to an auditor or regulator. The existing vault-level report has also been extended to cover multiple files and activities in one pass, and a dedicated compliance-reports tab now surfaces directly on the file detail page, so evidence for a single document is never more than one click away.
A Redesigned Fleet Dashboard
The main dashboard has been rebuilt as a global, user-centric overview that spans every organization a user belongs to, instead of forcing a switch between organization contexts to see the full picture. Eleven new aggregate endpoints power the redesign, giving multi-entity customers - integrators, resellers, and holding structures with several regulated subsidiaries - one screen that shows fleet-wide integrity and compliance posture at a glance.
Clearer Usage Visibility
A persistent usage indicator and a new usage-impact view now make it clear, at any point in a billing cycle, how close an organization is to its plan limits - before a quota is hit, not after. Combined with plan-aware feature gating now enforced consistently at both the API and interface layers, this removes the guesswork that previously came with scaling usage across a growing number of vaults and integrations.
- Automated retention policies with scheduled purge and deadline alerts
- Organization-wide compliance reports covering every vault and team
- A dedicated compliance-reports tab on the file detail page
- A redesigned, cross-organization Fleet Dashboard
- Persistent usage visibility and clearer plan limits
- A new public page for sharing verified files outside your organization
Every feature above is available today. If your team hasn't yet configured retention policies or generated an organization-wide compliance report, both are a good place to start this month. Log in to your dashboard to try them.
